1. Who we are

Kamnod is built and operated by Vibe Crafted Software (Pty) Ltd (registration number 2026/638376/07), Accumulo House, 11B Bedfordview Office Park, 3 Riley Road, Bedfordview, Gauteng, 2007, South Africa. For anything in this policy, write to info@vibecraftedsoftware.com. We apply Thailand’s Personal Data Protection Act (PDPA) and South Africa’s Protection of Personal Information Act (POPIA).

2. This website

The walkthrough form. When you send it, we receive your name, email address, agency name and message, and use them only to answer you. The message is passed to us by email through our form service in Amazon Web Services (Ireland) and is not stored there. Sending the form is not consent to marketing.

Kamnod news (mailing list). If you tick the box on the form, use the Subscribe box or answer the sign-up prompt, we add your email address to our mailing list, with a record of when and where you agreed. We send news about Kamnod and Thai Immigration changes, about once a month. Every email has an unsubscribe link, and unsubscribing takes effect at once. We never pre-tick the box, never add you from the form without it, and never sell or share the list.

Calls. The Call Sales button connects your browser to our team over an encrypted connection, using your microphone only during the call, after your browser asks your permission. Live calls are not recorded; we keep a call log (when, from which page, and who answered). If nobody is available and you leave a message, the recording and the email address you give are kept and sent to our sales team so we can call you back.

In your browser. We keep your light or dark theme choice, and the mailing-list prompt remembers whether it has already been shown. There are no advertising or analytics trackers on this site.

3. Inside the Kamnod app

Agencies use Kamnod to manage their clients’ cases. For that data, the agency decides what is collected and why, and we process it on its behalf. It is stored in Thailand, used only to provide the service to that agency, and never shared with other agencies or third parties for their own use. A client’s questions about their own data go first to their agency; we help the agency answer them.

Files the agency or its clients add, such as passport copies, are stored encrypted in Amazon Web Services’ Asia Pacific (Thailand) region, kept apart from every other agency’s files. When a photo is added, the details a camera records about it, such as where it was taken, are removed. A file the agency deletes is kept for 30 days in case it was deleted by mistake, then deleted permanently.

Clients who use the portal sign in with a passkey. The fingerprint or face check happens on their own phone and never reaches us; we keep only the passkey’s public key.

4. How long we keep it

Website enquiries: as long as needed to answer you and follow up, then deleted on request or after two years without contact. The mailing list: until you unsubscribe. App data: for as long as the agency uses Kamnod, then returned or deleted as agreed with it.

5. Your rights

You may ask to see, correct, move or delete your personal information, or object to how we use it, by writing to info@vibecraftedsoftware.com. You may also complain to Thailand’s Personal Data Protection Committee or South Africa’s Information Regulator.

6. Changes

When this policy changes, the date at the top changes too. We’ll tell agencies about changes that affect their data.
